The New Gates Access Surprise. Many, Many Questions.

A brief note in the HOA Newsletter and an email asking us to download a new App from ButterflyMX. That’s all we’ve seen of the new “upgrade” our Board has apparently approved to change how people enter the community. Anyone have more information?

We don’t know about you, but this leaves us with many more questions than answers on how this will affect all of us. If anyone has the answers, we’d love to hear from you. So here’s tge questions we have.

  • Why are we changing things and what does it affect.
  • Will the vehicle RFID’s still work as before?
  • We have an approved guest list on the current system. Will this be carried over or do we start from scratch.
  • The documentation for the new video access systemfeatures a video call from the new system. Will our old 4 digit codes stioo work on the call box?
  • The info suggests we need to approve one time deliveries. How does that apply to FEDEX, UPS, Amazon etc. where we get multiple deliveries, often not know when they’re coming?
  • If we add approved contacts, can they enter from unmanned gates without calling us? If so, will it call they’re phone or email them? How does that work with vendore such as pest control which may have various agents with differing numbers?If we have a party, do we still submit the list to the Vineyard cottage?
  • Does any of the above affect staffing at the Vineyard gate?

The list goes on. Can anyone shed some light on this? Do we need instructions specific to Morgan Creek. Reviewing the manual it is generic and not very specific.

    Not a problem. I am here to answer any questions to the best of my ability or seek out answers.

    This project was an approved change by the executive board after reports of an older outdated call box system and was more thoroughly looked and requested to management to seek out bids for replacement, ButterflyMX was brought to attention directly from one of the board members.
    RFID tags will not be altered or taken away in any way, this change is strictly to the callboxes at each of the three vehicle gates.
    The guest lists that residents currently have access to are not currently on the now used call box only saved on Dwellinglive which will also not be changed or taken away.
    That is correct, the new system will feature video call access, unfortunately the old codes will not carry over when you register and set up the new app . Once logged in you will see the new code automatically assigned and can alter it if wanted.
    Deliveries through more “frequent flyer” vendors are being given and added into the new system by the admins for the new system i.e. Machelle Gardner and myself this will be communicated to the vendors of changes before the rollout in September, I have already added them into the new system under a tab as “Delivery Authorizations” which will show on the callbox screen when they pull up.
    That is correct, one of the new features for ButterflyMX is the addition of “visitor passes” that residents will have access to add in that can be used at all the gates when entered in for your guests or services they can be assigned an expiration date. Parties should still be communicated to the Vineyard guard cottage for the influx of vehicles in areas of the community.
    None of the above affect’s staffing at the Vineyard guard cottage . They are being onboarded for the new system as well and will be available to help same as management for this new system to learn. The (0022) method will still be in effect as well, we have requested that the system be put on the phones of the security staff, and an Icon will be added to the call box that will contact the staff if assistance is needed.

    1. It appears that a Board Member introduced this new system without going through an RFP process. I’m curious what the system cost. Now, more than 500 homes are being forced to change out a system that only a few residents may have had issues with. This feels irresponsible and raises questions about whether the Board is meeting its fiduciary duty.

      1. We urge all concerned to attend the open meeting next Tuesday, 6 pm at Creekview Ranch School or via Zoom. The board should be able to explain the need, buying process and costs then.

  3. I wonder why no survey or questionnaire was sent out to the residents with features of the new system before the HOA selected this one? Why do we need a new system?

    There is only a week notice before the new system will be installed. What about if someone is on vacation during that period of time, and did not set themselves up for the new system. How can those residents enter the gate?

    If the current RFID tag does not work with the new system, does it mean we need to use our phone, Siri, etc in order to enter the gate. With the RFID tag, we don’t need to do anything when we approach the gate. Now we need to get our phone or other means in order to open the gate?

    I suggest the HOA should arrange with the vendor to do an online demo and answer questions for the residents. So we have more information about the system and can do the set up easier.

    Question: If someone is on vacation during that time and has not set themselves up in the system, how can that person enter the gate?

    Hope we can get some answer soon.

  4. I deleted the text and email because I thought it was an advertisement for a new ‘ring’ type product. I’m still not clear on how the system works and I agree a video would help.

  5. I did download the app and it is a nightmare for residents and
    visitors and vendors. We need an instructional video and then time for practical application. This Butterfly app wants access to all your contacts, etc. Then it looks like we have to get passes for everyone and it also looks like we have to punch in our own access.

  6. I tried to click the ‘Get Started” button on the email from ButterflyMX to set up my account. It displayed an error message indicating the link is no longer valid. I tried to paste the URL supplied by the HOA email, and it took me to the two attachments. What is going on?

  7. I heard (rumor!) that one of the board members was either familiar with this new vendor or had used them before. I don’t know if they voted, majority rule or what. Either way until Jordan spent a good 10 minutes with me I was so confused. Hopefully the meeting will set us straight.
